The Club

Mountain Brook Club is located in the heart of Birmingham, Alabama in the town of the same name. The organizing committee, who established the club in 1929, included some of Birmingham’s most distinguished residents.

The Clubhouse, built in 1929, is fashioned in a Colonial Revival style designed to resemble a stately country house. This beautiful, decorated building serves as the gathering place for members and their guests to enjoy multiple dining options, a comfortable lounge, and enhance outdoor dining and special events often held in the grand ballroom. The Clubhouse was recently renovated in 2022 with a 20-million-dollar capital project.

The centerpiece of Mountain Brook is the 18-hole golf course. Originally designed by Donald Ross, it was later renovated by both George Cobb and John LaFoy, and more recently by Brian Silva who brought it back to its original design.

Mountain Brook also offers a large tennis facility featuring ten immaculately maintained HydroCourt clay playing surfaces along with one hard court. The Club is currently in the processes of building four world class pickle ball courts in 2023. In addition, the Club also offers a 14,000 square foot fitness facility complete with a weight room, areas for group classes, massage, childcare and locker rooms. The pool complex includes the pool locker rooms and snack bar. The Clubhouse consists of the administrative offices, kitchen, member dining areas, lounge, locker rooms and banquet facilities.

The Director of Club Operations Position

The Director of Club Operations (DOCO) is ultimately responsible for daily operations throughout the clubhouse, including all food & beverage, fitness, aquatics and facilities. This daily responsibility also includes general housekeeping over each of these areas and representing the General Manager in his/her absence.

The DOCO must enhance the “club culture” by taking a hands-on approach to engaging members, guests and staff, building relationships and goodwill every day. He/she shall provide anticipatory hospitality along with superb dining and other food and beverage experiences for the Club’s membership and their guests. As the “public face” of operations, the DOCO must have a deep understanding of the needs and desires of the members and ensure staff are meeting these expectations.

This managerial position works closely with, and reports to, the General Manager and provides quality leadership and contributes to the positive atmosphere of the Club and associated operations. The relationship with the Executive Chef is very important to this position to ensure collaborative, innovative, and harmonious relationships between front- and back-of-the-house operations. The DOCO also works closely with, and serves as an ad-hoc member, of all club committees.

Primary Responsibilities

Member Services:

  • Consistent, sincere and significant engagement with members. A highly visible presence in the dining areas of the Club is of utmost Importance.
  • Ensure all member dining and club events are well-conceived and executed along with all amenities.
  • Provide quality leadership in a positive and upbeat manner for the members, guests and staff.
  • Create and maintain a first-class service culture throughout the Club.
  • Address and resolve all member and guest complaints and suggestions related to general service, employee attitude, maintenance and clubhouse operations.

Employee Relations:

  • Oversee recruiting, hiring and development of clubhouse and recreational amenity personnel.
  • Provide oversight of on-going training programs complete with up-to-date manuals designed to provide the tenets of delivering exceptional service throughout the Club.
  • Coach, counsel and evaluate (subject to budget approval) subordinate managers and supervisors to prepare them for advancement.
  • Instill the concept of being “team players” among staff to develop a positive spirit and healthy work environment free of safety risks and all forms of employee harassment.
  • Maintain an effective communication program that treats employees in a fair, structured and consistent manner.
  • Function as an administrative and communication link between departments in the Club.
  • Guarantee that all clubhouse employees are regularly trained and certified in areas that help guard the safety and well-being of members, guests and other employees including, but not limited to responsible alcohol service, safe food handling, etc.
  • Help to facilitate a team environment with morale, high ethical standards and efficient use of resources to ensure a healthy work environment, free of safety risks and any form of harassment, that will position Mountain Brook Club as a preferred employer in the community.

Financial Management:

  • Assist the General Manager and Controller in the development and implementation of long-range (strategic) and annual (business) plans, operating reports, forecasts and budgets.
  • Monitor the budgets each week/month and direct the taking of corrective action as necessary to assure that the budgeted goals are attained.
  • Provide input to all clubhouse and recreation personnel regarding annual budgets, capital spending plans, fiscal controls and operational guidelines.
  • Responsible for all labor cost payouts and maintains them within the constraints of the budget and through close coordination, and with approval, from the General Manager and Controller.
  • Monitor payroll records to control overtime and maintain labor costs within budgetary guidelines.

Personnel Management:

  • Display very hands-on approach and lead staff by example; must be approachable by staff, members and guests.
  • Works with Human Resources to develop long term staffing needs for each area of responsibility.
  • Responsible for the hiring, discipline, termination and documentation of all clubhouse and recreation staff.
  • Review all accidents; work with HR and Safety Committees to complete required reports. Develop and implement procedures to improve workplace safety.
  • Attend meetings of senior management and carry out directives resulting from the meetings as well as any other requests of the General Manager in a timely manner.
  • Serve as an ad-hoc member of appropriate club committees.
  • Possess a warm personality, sense of humor and ability to work effectively with all staff and members.
  • Work with Executive Chef and Food and Beverage Manager to develop P&L statements prior to each event, prepare and retain recap of each event for future reference.
  • Work with Executive Chef on menu development.
  • Work with the F&B Manager to organize and market special club events with the support of appropriate member committee.
  • Further his/her own continued development as a club management professional with membership in Club Management Association of America (CMAA). With the assistance and approval of the General Manager, participates in appropriate seminars/training programs, thereby enhancing his/her value and quality of services to Mountain Brook Club.

Operational Responsibilities:

  • Understand and abide by Mountain Brook Club policies and departmental procedures. Suggest changes and, if required, direct the implementation of change.
  • Provide content for, and manage, the preparation of communications and marketing materials for departments.
  • Assure clubhouse operations and recreational amenities are run in accordance with all applicable local, state and federal laws.
  • Research new products/services/vendors and develop an analysis of their costs/benefits.
  • Ensure the club’s preventive maintenance and energy management programs are on schedule and in use.
  • Disseminate information effectively and coordinate activities between departments on a timely basis.
  • Keep the General Manager apprised of all potential problems and activities related to the smooth operation of the clubhouse and recreation amenities.
  • Oversee inventory management throughout departments and complete a periodic china, glass and silver inventory to maintain par levels.
  • Possess a sharp eye for detail in the overall management of the operation.
  • Regularly reporting performance, financial data and any other requested information to the General Manager in a weekly report.

City Club Facts & Figures

Reporting Relationships: This position reports to the President of the Board of Directors with a secondary reporting relationship to the Board Executive Committee and Board of Directors of 9 to 12 members. Position oversees management of a staff of 200 in the off-season, 300 in-season and a combined club membership of 1,244 including 514 regular members and 302 members in other social categories, 310 golf members and 118 pool/fitness/tennis members. The overall average age of members at 63. Note these figures reflect the membership through the end of fiscal year 2023 (October 31). Numbers will alter at the start of the 2024 fiscal year based on the number of golf and pool/tennis/fitness members that remain affiliated with the City Club as an add-on after the sale of the Country Club.

This position has direct reports from the Senior Staff, including the Chief Financial Officer, Club House Manager, Director Marketing and Communications, Membership Director, Executive Chef and Director of Transportation and Concierge Services.

Internal Relationships: This position requires relationship building and interface with Senior Staff, all full-time and part-time staff and the Board of Directors.

External Relationships: This position requires relationship building and interface with

The General Manager Position

Serve as the Chief Executive Officer of the Club managing all aspects of the Club including its activities and the relationships between the club and its Board of Directors, members, guests, employees (staff), community, government, and industry.

Provide direction, clarity, and confidence to the end of supporting and encouraging fulfillment of the organization’s primary mission and shared vision.

Ensure that a dedicated team of professionals is in place to effectively execute the Club’s business plan and hold them accountable to meet operating standards and to achieve a high level of member satisfaction while simultaneously achieving the financial objectives of the club.

Business Management and Leadership

Responsible for short- and long-range business plan development, Board management and governance, relationships with business, community and government leaders and leadership of the organization as a whole. Sets the standard for effective management, maintaining a high level of ethics, prudence, creativity, productivity, and innovation. Apprises the Board of trends, changing circumstances and unexpected occurrences that could call for adaptation of the strategic plan, providing solutions and a plan of action accordingly. Monitors long and short term objectives and financial reports.

Organizational Management

Develops, maintains and disseminates a basic management philosophy to guide and empower all personnel toward optimal operating results and positive employee morale to insure member satisfaction. Work with senior staff to schedule, supervise and direct the work of all employees. Provides proper and ongoing training in all club areas to ensure smiling, friendly and efficient service throughout all levels of the organization. Convene and preside over meetings with departmental managers; conduct all-facility personnel meetings. Has ultimate authority over inter-departmental, inter-club matters and implementation of policies concerning employee-employer relations. Write policy and rule directives or approve those written by department heads. Act as mentor and developer of professional talent with the staff. Interact with department managers pursuant to the appraisal, discipline, and or discharge of any employee. Ensure job descriptions and job accountabilities are in place for all salaried staff. Initiate annual performance evaluations.

Membership Development

Responsible for development and implementation of strategies to expand all classifications of membership. Welcome new members, ensure they are informed about the club and integrated into its activities. “Meets and greets” all club members as practical during their visit to the club. Gets to know the members and their desires. Ensures member satisfaction and engagement by providing members with premier friendly service, high quality casual and fine dining experiences, an exciting calendar of events and entertainment, exceptional product offerings of sports, cultural and travel experiences, informative member communications and membership recognition programs. Establish methodology to get member satisfaction input and feedback. Monitor overall membership management to ensure membership retention. Report member infractions to the Board for necessary action.

Finance and Budget Management

Responsible for preparation of annual goals and budgets for day-to-day operations and recommended capital improvements. Oversee budget management, financial reporting and annual audits. Oversee investment planning and management. Initiate revenue generating products and programs though earned revenue and contributed income. Ensure operational guidelines, best practices and fiscal accountability are implemented across all operating departments. Coordinate development of operating and capital budgets with department heads, monitoring monthly and other financial statements taking effective corrective action as needed. Install controls and cost-effective procedures related to employee payroll, purchasing, inventory management and supplies. Actively look for efficiency opportunities in all areas. Maintain an up-to-date management information system which can be counted upon for all operations of the club including online dues payment.

Revenue Generation

Responsible for revenue generation through contributed income and earned revenue including member dues and fees, member assessments and/or minimums if deemed necessary; food and beverage; branded merchandise offerings, events, and sports, cultural and travel offerings. Develop a special events annual calendar to increase revenues and member engagement. Make sure every product, program or special event has a budget in place to ensure proper pricing and profitability. Initiate a plan to increase revenues generated through catering, banquet and meeting facilities with the goal of having bookings at maximum capacity with a full calendar, thus maximizing revenues.

Operations & Management

Responsible for management of all office and administrative details of the club in a manner that is consistent with good management practices in accordance with all applicable local, state and federal laws. Plan, develop and approve specific operational policies, programs and procedures to ensure efficient club operations. Ensure that club by-laws and code of conduct are adhered to throughout the organization, making recommendations for updates as necessary. Serve as ultimate authority over all inter-departmental and inter-club matters.

Attend all meetings pertinent to management of the club including executive committee and board of directors. Serve as ex-officio member of all club committees. Oversee preparation of reports and other support materials for the board and committees. Assist leadership of the governing board in assessing progress of the club, creating solutions and providing a plan of action related to any issues of concern. Serve as liaison between all management staff and the board. Prepare and negotiate any contracts for board approval. Hire outside consultants, as needed, with the approval of the Board President and Executive Committee. Participate in community activities deemed appropriate and approved by the board of directors to enhance the prestige of the club.

Manage relationship with Concert Golf Partners and the Wisconsin Country Club regarding reciprocity arrangements and other operational issues in relation to the terms of the Purchase and Sale Agreement.

Ensure the highest standards for food, beverage, sports, travel, entertainment and other club services.

Monitor the safety of all staff and membership ensuring crisis management protocols are in place and staff properly trained to deal with weather, fire and medical emergencies, bomb threats, robberies or theft and active shooter incidents. Maintain relationship with fire, police, liquor control board, health department and other government agencies. Insure proper security measures are in place including security cameras and protocols for securing cars and property.

Oversee the care and maintenance of all of the club’s physical assets and facilities, both internal and external. Ensure proper cleanliness and sanitation of all club facilities and environments. Provide advice and recommendations to the board and building committee about construction, alterations, maintenance, materials supplies, equipment, and services. Develop and implement an annual and long range plan for interior and furniture upgrades or replacement.

Build relationships with, provide direction to, and work closely with vendors, outside contractors, firms and individuals providing services to the club. Maintain an active vendor directory across all disciplines of the club. Establish and monitor compliance of purchasing policies and procedures across all club disciplines. Direct inventory controls, purchasing, receiving, storage, maintenance and control of all products, supplies and equipment.

Provide oversight and management of transportation program including scheduling and purchasing and maintenance of vehicles ensuring all drivers are properly licensed.

Maintain membership with professional associations such as the Club Managers Association of America and attend conferences, workshops and meetings to keep abreast of current information, trends and developments in the field, and programs available to aid in club management and staff training and continued education.

Perform other duties as directed by the President of the Board of Directors.

Marketing & Communications

Responsible for overall communications and marketing plans to enhance image, visibility and awareness of the club among target audiences. Provide oversight and approval of all internal and external promotion and communications materials in support of club programs. Supervise media relations. Serve as spokesperson as required. Direct and approve content selection, writing and publishing of the club newsletter and website.

Ensure all member communications are received in a timely way to allow members to take action and ensure all programs are promoted well in advance to allow members to add them to their calendars. Maintain archives of the club including club history and chronological timeline of milestones. Direct development and management of an annual events calendar providing members and their families with a variety of events and experiences. Provide oversight of club travel program serving as traveling companion and host to members on all trips.

Food and Beverage & Food Service Management

Provide Club members with an unsurpassed excellent dining experience with well-plated, beautifully prepared, tasty food and impeccable service. Ensure menus in the Mitchell Room and Veranda and Alexanders are different from one another providing members a variety of food choices. Work in conjunction with Club House Manager and Executive Chef to ensure rotation of menus, making fresh options available seasonally and specials available daily or weekly, offering variety and new options for frequent diners. Ensure options are available for members with special dietary needs. Work with catering to provide high quality menu options for meetings, banquets, parties, weddings and events. Ensure that all food venues and events are properly staffed and that staff is well-trained to offer welcoming, friendly impeccable service.

Work with dining room managers and banquet managers to make sure all wait staff knows how to properly pace service, and how to maximize food and beverage revenues by graciously suggesting drinks, appetizers, salad and soup, wine with dinner, a second drink or other beverage, and dessert or after dinner drinks without being intrusive. Review food and beverage ordering and inventories with executive chef and beverage manager to create efficiencies and avoid waste. Ensure bars at all venues and events are stocked with top shelf liquor and high-quality house brands and that bartenders are well trained and able to accommodate any member request, including non-alcoholic choices. Ensure all dining options are priced properly for profitability.

Candidate Qualifications 

  • A minimum of 7-10 years of progressive leadership and management experience in the Hospitality Industry and Private Club Environment preferred. Current Assistant General Managers or Clubhouse Managers at well-recognized clubs, with verifiable records of achievement will also be considered.
  • A Bachelor’s Degree from an accredited college or university, preferably in Hospitality Management or Business preferred.
  • Certified Club Manager (CCM) designation or working towards one preferred.

The Assistant General Manager Position

The Assistant General Manager (AGM) is ultimately responsible, on a daily basis, for all clubhouse, food and beverage, aquatics, recreation and facilities operations including general housekeeping in these areas. The AGM is also responsible for all aspects of the operation in the absence of the General Manager/COO and performs specific tasks as requested.

This AGM works closely with, and reports directly to, the General Manager/COO, providing quality leadership and contributing to the positive atmosphere of the Club and associated operations. He/she will also prepare annual department budgets in concert with the GM/COO.

The AGM must enhance the club culture and is responsible for the dissemination of hospitality, friendliness and goodwill among members, guests and staff. His/her goal is always to assist members and guests in the enjoyment of the facilities and activities at the Club. In addition to building relationships, the AGM also provides support to the respective committees and advisory groups. As the public face of these operations, a hands-on approach, and understanding that full member and staff engagement is critical, is required to succeed in this position.

The AGM should anticipate and provide enhanced hospitality along with superb dining and other memorable experiences for the Club’s membership and their guests. Alignment with the Executive Chef, Event Director and Food & Beverage Managers is very important in this position to ensure collaborative, innovative, harmonious relationships between front- and back-of-house operations.

Primary Responsibilities

Member Services

  • Consistent, highly visible, sincere and significant engagement with members and staff
    in the dining areas of the club is of the utmost importance. It is the ultimate responsibility of the AGM to ensure all member dining, amenities and club events are well-conceived and executed.
  • Provide quality leadership in a positive and upbeat manner for the members, guests
    and staff.
  • Create and maintain a first-class service culture throughout the club campus.
  • Listen to member and guest suggestions and resolve all complaints in areas that may include general service, employee attitude, maintenance, and presentation of the clubhouse operations.

Employee Relations

  • Oversee the seasonal recruitment, hiring and development of clubhouse and food service personnel.
  • Oversee ongoing training programs complete with up-to-date training manuals to ensure exceptional service in all parts of the club’s operation.
  • Provide for training and future development of all subordinate managers and supervisors, subject to budget approval by the General Manager/COO. Coach, counsel, and evaluate departmental staff on a consistent and ongoing basis.
  • Ensure a positive spirit and healthy work environment exists throughout all club operations, one that is free of safety risks and all forms of employee harassment.
  • Maintain an effective two-way communications program with employees to ensure they are treated in a fair, structured and consistent manner.
  • Function as an administrative and communication link between all departments.
  • Guarantee that all clubhouse employees are regularly trained and certified in areas that help guard the safety and well-being of our members, guests and other employees including, but not limited to responsible alcohol service, safe food handling, etc.

Financial Management 

  • Work jointly with the Controller and General Manager/COO to prepare the annual operating and capital budgets for all clubhouse and service operations; assist in the management and control of operations to attain the desired results.
  • Monitor the budget each week/month and direct any corrective action, as necessary,
    to assure budgeted goals are attained.
  • Provide input to all clubhouse and service personnel regarding annual budgets, capital spending plans, fiscal controls and operational guidelines.
  • Manage all labor cost and maintain them within the constraints of the budget, and through close coordination and approval from the General Manager/COO and Controller.
  • Monitor payroll records to control overtime and maintain labor costs within budgetary guidelines.
  • Supervise the purchase, receipt, safekeeping and disbursement of operating supplies and equipment to maximize quality and profitability.

Personnel Management

  • Be approachable to staff, members and guests. Lead by example.
  • Assist the General Manager/COO in developing and implementing long-range (strategic) and annual (business) plans, operating reports, forecasts and budgets.
  • Work with Human Resources to develop long-term staffing needs for each area of responsibility.
  • Hiring, discipline, terminating and preparing all related documentation for all clubhouse and service staff.
  • Review all accidents and work with HR and Safety Committee to complete accident reports and implement improved procedures to prevent the situation from reoccurring.
  • Attend senior management meetings and carry out directives agreed upon during the meetings along with any other requests of the General Manager/COO. All actions must be carried out in a timely manner.
  • Serve as an ad-hoc member of appropriate club committees and advisory groups.
  • Possess a warm personality, a sense of humor and the ability to work effectively with all levels of the internal staff and members.
  • Work with the Executive Chef, Event Director, Food & Beverage Managers and others to develop P&L statements prior to each special event. Produce an event recap along with all appropriate documentation/history, keeping it on file for future use.

  • Further personal continued development as a club management professional through membership in CMAA. Operational Responsibilities

  • Understand and abide by Biltmore Forest Country Club policies and departmental procedures. Suggest changes, and when appropriate, direct the implementation of all approved changes.
  • Provide content for, and manage, communications and marketing information for departments.
  • Assure Clubhouse operations and campus venues are run in accordance with all applicable local, state and federal laws.
  • Disseminate information effectively and coordinate activities between departments

About the General Manager Role

The General Manager Position

The General Manager reports to the board and coordinates with its president on a regular basis to implement the established policies and Club bylaws.  He/she also coordinates all management functions and works in concert with committee chairs to assist in the development of proposed policies, programs, events, etc.

The General Manager develops operational policies and is responsible for the creation and implementation of standard operating procedures for all departments. This includes the preparation of the annual operating and capital budget in partnership with the club Controller.

This position requires leading the coordination of programming at the club and the development of departmental cooperation. Another critical requirement of the position is to oversee the internal and external marketing strategies for membership growth, and member engagement and retention.

A strong and visible presence will be a daily requirement to set the example for all employees to consistently treat members with warm hospitality and professional service.

[Pine Lake is currently evaluating a golf course renovation to be implemented in the next 2-3 years and the General Manager will be expected to lead renovation efforts in partnership with the Architect and Course Superintendent]

The Assistant General Manager (AGM) will have operational responsibility for all sales and execution events, functions and retreats as well as involvement in the entire food & beverage operation. Primary Responsibilities 

  • Develop and monitor an operating budget for the department’s revenue outlets; take corrective action as necessary to help assure budgeted sales and cost goals are attained.
  • Develop a capital budget for all necessary food and beverage equipment; recommend facility renovation needs.
  • Ensure adequate cash and charging procedures are followed with documentation reported in an accurate and timely manner.

  • Responsible for the proper accounting and reconciliation of the point-of-sale and guest revenues.
  • Maintain records of special events, guest counts, food covers and daily business volumes.
  • Ensure an accurate reservation and event system is in place.
  • Audit and approve weekly payroll for their scope of responsibility.
  • Source all entertainment and prepare recap of annual layout for approval by the General Manager and Owners.
  • Establish and maintain professional business relations with vendors.
  • Work with Shelton’s Controller and/or Chief Financial Officer to identify and develop operating reports and for ongoing control of the department.
  • Serve as manager-on-duty on a scheduled basis.
  • Complete other appropriate assignments from the General Manager and Ownership.

  • A minimum of 5 years of progressive leadership and management experience in the hospitality, hotel, resort and/or club environment.

An Anatomy of Two Committees

Of all the club committees, none is more important that the nominating committee and none is less important than the executive committee. You may think it a radical thought, but before you dismiss it, consider the following rationale. One of the five principles of good governance is electing board members on their merits and not on their popularity, personal agendas, seniority or some other basis. Honoring that principle is best achieved via an uncontested election, where the number of candidates equals the board slots to be filled. An uncontested election requires two essential ingredients:

*An independent, objective nominating committee.

*A board-established profile that lists the requirements and desired characteristics of board members.”

Member trust in the uncontested election process is directly linked to their perception of the nominating committee’s integrity. To ensure that trust is nurtured, establish your nominating committee using the following guidelines:

Smaller is Better

The size of most club nominating committees is between five and seven members. Because of the high premium placed on the confidential proceedings of the committee, we prefer the smaller size.

Selecting the Chair

The key decision in forming the committee is the selection of its chair. Club bylaws often specify that the chair is selected by the president. Others may identify the immediate past president as the chair. Of the two approaches, we favor having the president select the chair, primarily to avoid the appearance of a self-perpetuating board. However, the importance of this decision calls for a board-approved set of criteria for the chair. For example, the board may require the president to select a chair based upon their reputation of integrity, independence and objectivity; their understanding of club governance; and their ability to lead a highly confidential vetting process.

Allow the Chair to Select Committee Members

Once the chair is designated, there is the selection of committee members. Some bylaws have the president selecting the committee members. For those clubs whose bylaws are not specific as to how committee members are chosen, we recommend leaving that decision to the newly appointed committee chair. If they have been selected using criteria like those listed above, they will recruit like-minded members to carry out this important role.

Define the Ideal Candidates

As important as selecting the right chair and committee members is the process used by the committee to prepare a slate of candidates. The board should approve a profile that includes both required and desired characteristics of board members. Further, we recommend the committee be held accountable to use the board profile to vet potential candidates. A properly formed nominating committee using a board approved process and referencing a board profile is best equipped to select a slate of highly qualified candidates for the board.

The Executive Committee

While the nominating committee has the most important role among club committees, we believe the executive committee has the least. Our concern with a board’s executive committee is that it can become a mini-board, i.e., it can make decisions that are best left to the entire board. One of the principles of good club governance is the board speaking with one voice. Having the executive committee stand in for the full board dilutes this principle and can result in board members not on the executive committee feeling like second class citizens.

Despite the threats to the one-voice principle, executive committees have a long history in clubs primarily for two reasons:

  • There are board decisions that must be made between board meetings.
  • There are matters calling for a group smaller than the board to handle.

Regarding the need for decisions between board meetings, the last two years have demonstrated how easy it is to call an online meeting of the board. If an issue requires a decision by the board, the president can email an invitation to board members and assemble an online meeting within days. Some bylaws require a notice period of a week or two before a special meeting of the board but many clubs have amended their bylaws to allow only a few days’ notice, given the ease with which board members can be contacted and made available for the meeting.

The second rationale for having an executive committee is the occasional need for a small group to handle a particularly sensitive issue or provide the general manager with counsel on a policy or a decision. While a smaller group is more efficient and may be more secure with sensitive information, we do not see an executive committee as the one-size-fits-all group. For example, if the behavior of a staff member may result in adverse publicity for the club, it may be best to assemble a group of board or club members based on their expertise and not their office. Similarly, if the general manager needs counsel on handling an issue or transaction, they can call on board members or club members best suited to offer the advice.

A final point: Although the common board size is nine members, many clubs have 12 or more members. These larger boards are more likely to lean on an executive committee for efficient decision making. However, the more these larger boards rely on their executive committees, the more likely the non-committee members will feel left out. If a board is unwieldy, reduce its size rather than creating a two-tiered board by depending on an executive committee to make intermediate decisions.
