The General Manager/Chief Operating Officer Position

The General Manager/Chief Operating Officer manages all aspects of the club including its activities and the relationships between the club and its Board of Directors, members, guests, employees, community, government, and industry. The GM/COO coordinates and administers the club’s policies as defined by its Board of Directors, develops operating policies, procedures and directs the work of all department managers. Additional duties include the implementation and monitoring of the budget, the Club’s products and services and maximization of member and guest satisfaction. The GM/COO must also secure and protect the club’s assets, including all facilities and equipment.

Primary Responsibilities:

  • Leads the senior management team to maintain and improve the member experience and foster a unified team culture. Builds strong teams by motivating staff and leading by example. Provides direction and expectations, continuous performance feedback and recognition that leads to positive outcomes to enhance member experiences through inspiring department managers and employees. Exhibits leadership skills in team building, employee motivation and service training while promoting employee well-being. Respectful and professional in all interpersonal dealings.
  • Properly manages all aspects of the Club’s activities to ensure the highest quality standards for food, beverage, sports and recreation, entertainment, and other Club services. Reviews and initiates programs to provide members with a variety of popular events.
  • Coordinate the development and execution of the club’s long-range and annual operational plans to achieve the club’s mission.
  • Prepare comprehensive operating plans and budgets, obtain approval from the board, and operate in accordance with approved budgets. Maintain a long-term capital budget to assure the sustained material condition of all physical assets of the club.
  • Plan, develop and approve specific operational policies, programs, procedures, methods, rules, and regulations in concert with board-approved policies.
  • Work with board-established committees to ensure they are well-supported and operate in accordance with approved policies and directives.
  • Performs competitive analyses of Clubs and other businesses providing member alternatives through personal observations and historical reports. Provide the board and committees with relevant information on trends and developments.
  • Oversee security, risk management, and health and safety programs to implement and manage measures put in place to protect members, employees, staff, and club physical assets.
  • Maintain clear, consistent dialogue with the board and develop a comprehensive communication program to keep appropriate constituents apprised of club operations, member satisfaction, and financial performance.
  • Operate the club in accordance with all applicable local, state, and federal laws. Ensure compliance with regulatory and other governmental agencies that have oversight of various club assets and operations.

The Position

The General Manager (GM) serves as the Chief Operating Officer. The GM will manage all aspects of the Club, including its activities and relationships between the Club and its Board of Directors, Members, guests, employees, community, government, and industry.

Reporting to the Board of Directors through the President, the General Manager is responsible for managing the overall performance of the ROGC by providing an exceptional Member experience. The General Manager will have a strong command of industry trends in addition to industry benchmarks and best practices.

Highly visible and interactive throughout all seasons, the GM will be a professional in personal style, demeanour and presence, and comfortable interacting with Members and staff. As chief host within the Club and ambassador of the Club within the community, the GM manages the quality of the Club’s services to ensure Member and guest satisfaction.

The GM will be expected, along with their team, to develop ongoing strategies that contribute to fulfilling the Club’s Vision and Mission as approved by the Board and the Membership. The GM will also lead the annual planning, goal setting and financial performance of the Club.

Experience and understanding of the game of golf, its history and traditions, and a minimum of ten years of progressive management experience in a well-regarded private club or similar hospitality environment is required.

Role Summary

Position Responsibilities

The GM will be responsible for the following:

  • Oversee the complete operation of the Club in accordance with the direction established by the Board and the Strategic Plan.

The Position

We are recruiting an accomplished full time Controller to take charge of the Club’s accounting and finance functions. Reporting to the General Manager, the Controller is an integral member of the Senior Management Team and will lead an accounting team of three people.  The Controller is a contributing team manager to the overall Club operation, and manages the financial operations of the Club, supervises the accounting functions, and provides analytical support to the GM, Finance & Risk Committee, Board of Directors and others for planning, budgets, and solutions to business problems.  This includes recommendations on the implementation and maintenance of the Club’s financial plans and policies, its accounting practices, fiscal records, and the preparation of financial reports. The Controller is a strong Club business partner and makes decisions in accordance with Club policy on administrative or operational matters, ensuring the effective achievement of objectives.

The Controller will be responsible for the following:

  • Recommend and implement policies to control and coordinate accounting, auditing, budgets, taxes and related activities and records; develop, establish, and administer procedures and systems pertaining to financial matters. Responsible for the Club’s internal controls and compliance to same. Periodically report to the Audit, Finance & Risk Committee on the status of internal controls, and opportunities to improve and strengthen controls.
  • Prepare financial statements, forecasts, and analysis for all administrative and managerial functions in a timely manner. Maintain all accounting records; develop, analyze, and interpret statistical and accounting information.
  • Manage the annual external audit and ensure all year end reporting requirements are met. Prepare the first draft of year end financial statements and notes in conjunction with the audit.
  • Evaluate and recommend insurance coverage for protection against property losses and potential liabilities. Lead negotiations with Club’s insurance partners.
  • Coordinate and direct the preparation of the annual operating and capital budgets with senior leadership team, including short- and long-term business plans, and financial forecasts.
  • Actively manage cash and working capital on an ongoing basis and develop cash flow projections to support cash and debt financing requirements for operations and capital investments. Work with financial institutions to secure debt management facilities and maintain proper covenants. Invest excess funds in accordance with the investment policy to maximize returns while ensuring sufficient liquidity to meet cash requirements.
  • Oversee Human Resources operations and ensure proper controls are established around payroll and all related HR processes.
  • Evaluate and coordinate appropriate technologies to support the activities of the Club.
  • Responsible for hiring, training, coaching, and evaluating the performance of department employees. This individual recommends training requirements and has the duty to keep staff at the highest level of skill necessary to meet Club needs and objectives.
  • Responsible for the development, implementation, and operation of all accounting and information systems support; for the administration, management, and maintenance of the equipment systems employed in the collection of information and for the training and supervision of staff related, but not limited, to the Administration department.
  • Furnishes internal reports, revises, and updates reports to be more useful and efficient, and furnishes external reports, including for tax and other government reporting, as necessary.

Candidate Profile

  • CPA Strongly preferred.
  • Five years of professional accounting experience as a Controller or Financial Manager.
  • Experience working with Not-for-profit Organizations, the private club industry an asset.
  • Familiarity with golf an asset.

The Position

We are recruiting a talented full-time Controller to be responsible for supporting the General Manger in ensuring the smooth operation and accurate reporting of all Club financial matters. The person in this role is responsible for administering and performing various accounting functions, including the preparation of monthly and annual financial reports and statements, assisting with budgeting, and oversight for ledgers, accounts payable and other transactions. In addition, this role is responsible for preparing payroll for the salaried, bi-weekly and seasonal staff.

The Controller will be responsible for the following:

  • Financial Accounting – preparation of all journal entries, and full cycle accounting including monthly financial statements, annual operating and capital budgets, cash flow projections, bank reconciliations, credit card reconciliations, and other account reconciliations, and maintenance of the fixed asset account schedule and associated depreciation.
  • Compliance – remittance, in a timely manner, of all tax (source deductions, HST, EHT, WSIB, and income taxes), completion of regulatory filings and other reporting requirements.
  • Audit – preparation of all documentation required for the annual Audit, coordination with Club auditors to ensure annual tax returns are filed accurately and on time for both the Club and the Club’s numbered company.
  • Accounts Receivable – Prepare and send the Chalet Members’ Quarterly statements, and respond to all member inquiries and requests quickly and professionally.
  • Accounts Payable – Manage the Accounts Payable function, including posting invoices, reviewing all invoices for appropriate documentation and approvals in accordance with Club policies, process vendor payments within vendor credit terms, and perform cheque runs. Work to identify opportunities to improve the effectiveness of the AP Processing.
  • HR / Payroll – Supervise the input and processes for payroll data including new hires, employee updates and terminations, prepare and submit bi-weekly, calculate, reconcile, and prepare journal entries for payroll earnings and deductions.
  • General – Compliance with all company policies, work closely with the needs of the members, departmental managers, and various club committees; general duties as assigned.

The Position

The Chief Executive Officer (CEO) is the senior management position, reporting to the Executive Committee of The Arbutus Club and, where appropriate, to the Board of Directors of the Club.

The CEO manages all aspects of the Club including its activities and the relationships between the Club and its Board of Directors, members, guests, employees, community, government and industry. The CEO coordinates and administers the Club’s bylaws, rules and policies as set by the members of the Club or by its Board of Directors. This individual develops operating policies and procedures and directs the work of all department managers. The CEO implements and monitors the budget, monitors the quality of the Club’s facilities and services and ensures maximum member and guest satisfaction. This individual also secures and protects the Club’s assets, including facilities and equipment.

Primary Job Responsibilities:

  • Leads the senior management team to maintain and improve the member experience and foster a unified team culture. Builds strong teams by motivating staff and leading by example. Provides direction and expectations, continuous performance feedback and recognition that leads to positive outcomes to enhance member experiences through inspiring department managers and employees.   • Plans, develops and approves specific operational policies, programs, procedures and methods in concert with the bylaws, rules and policies.

Mountain Brook Club is located in the heart of Birmingham, Alabama in the town of the same name. The organizing committee, who established the club in 1929, included some of Birmingham’s most distinguished residents.

The Clubhouse, built in 1929, is fashioned in a Colonial Revival style designed to resemble a stately country house. This beautiful, decorated building serves as the gathering place for members and their guests to enjoy multiple dining options, a comfortable lounge, and enhance outdoor dining and special events often held in the grand ballroom. The Clubhouse was recently renovated in 2022 with a 20-million-dollar capital project.

The centerpiece of Mountain Brook is the 18-hole golf course. Originally designed by Donald Ross, it was later renovated by both George Cobb and John LaFoy, and more recently by Brian Silva who brought it back to its original design.

Mountain Brook also offers a large tennis facility featuring ten immaculately maintained HydroCourt clay playing surfaces along with one hard court. The Club is currently in the processes of building four world class pickle ball courts in 2023. The Director of Club Operations Position

The Director of Club Operations (DOCO) is ultimately responsible for daily operations throughout the clubhouse, including all food & beverage, fitness, aquatics and facilities. This daily responsibility also includes general housekeeping over each of these areas and representing the General Manager in his/her absence.

The DOCO must enhance the “club culture” by taking a hands-on approach to engaging members, guests and staff, building relationships and goodwill every day. He/she shall provide anticipatory hospitality along with superb dining and other food and beverage experiences for the Club’s membership and their guests. As the “public face” of operations, the DOCO must have a deep understanding of the needs and desires of the members and ensure staff are meeting these expectations.

This managerial position works closely with, and reports to, the General Manager and provides quality leadership and contributes to the positive atmosphere of the Club and associated operations. The relationship with the Executive Chef is very important to this position to ensure collaborative, innovative, and harmonious relationships between front- and back-of-the-house operations. Primary Responsibilities

Member Services:

  • Consistent, sincere and significant engagement with members. A highly visible presence in the dining areas of the Club is of utmost Importance.
  • Ensure all member dining and club events are well-conceived and executed along with all amenities.
  • Provide quality leadership in a positive and upbeat manner for the members, guests and staff.

Employee Relations:

Financial Management:

  • Assist the General Manager and Controller in the development and implementation of long-range (strategic) and annual (business) plans, operating reports, forecasts and budgets.
  • Monitor the budgets each week/month and direct the taking of corrective action as necessary to assure that the budgeted goals are attained.
  • Provide input to all clubhouse and recreation personnel regarding annual budgets, capital spending plans, fiscal controls and operational guidelines.
  • Responsible for all labor cost payouts and maintains them within the constraints of the budget and through close coordination, and with approval, from the General Manager and Controller.
  • Monitor payroll records to control overtime and maintain labor costs within budgetary guidelines.

Personnel Management:

  • Display very hands-on approach and lead staff by example; must be approachable by staff, members and guests.
  • Works with Human Resources to develop long term staffing needs for each area of responsibility.
  • Responsible for the hiring, discipline, termination and documentation of all clubhouse and recreation staff.
  • Review all accidents; work with HR and Safety Committees to complete required reports. Develop and implement procedures to improve workplace safety.
  • Attend meetings of senior management and carry out directives resulting from the meetings as well as any other requests of the General Manager in a timely manner.
  • Serve as an ad-hoc member of appropriate club committees.
  • Possess a warm personality, sense of humor and ability to work effectively with all staff and members.
  • Work with Executive Chef and Food and Beverage Manager to develop P&L statements prior to each event, prepare and retain recap of each event for future reference.

  • Understand and abide by Mountain Brook Club policies and departmental procedures. Suggest changes and, if required, direct the implementation of change.
  • Provide content for, and manage, the preparation of communications and marketing materials for departments.
  • Assure clubhouse operations and recreational amenities are run in accordance with all applicable local, state and federal laws.

Reporting Relationships: This position reports to the President of the Board of Directors with a secondary reporting relationship to the Board Executive Committee and Board of Directors of 9 to 12 members. Position oversees management of a staff of 200 in the off-season, 300 in-season and a combined club membership of 1,244 including 514 regular members and 302 members in other social categories, 310 golf members and 118 pool/fitness/tennis members. The overall average age of members at 63. Note these figures reflect the membership through the end of fiscal year 2023 (October 31). Numbers will alter at the start of the 2024 fiscal year based on the number of golf and pool/tennis/fitness members that remain affiliated with the City Club as an add-on after the sale of the Country Club.

This position has direct reports from the Senior Staff, including the Chief Financial Officer, Club House Manager, Director Marketing and Communications, Membership Director, Executive Chef and Director of Transportation and Concierge Services.

Coordinate development of operating and capital budgets with department heads, monitoring monthly and other financial statements taking effective corrective action as needed. Install controls and cost-effective procedures related to employee payroll, purchasing, inventory management and supplies. Actively look for efficiency opportunities in all areas. Maintain an up-to-date management information system which can be counted upon for all operations of the club including online dues payment.

Revenue Generation

Responsible for revenue generation through contributed income and earned revenue including member dues and fees, member assessments and/or minimums if deemed necessary; food and beverage; branded merchandise offerings, events, and sports, cultural and travel offerings. Develop a special events annual calendar to increase revenues and member engagement. Make sure every product, program or special event has a budget in place to ensure proper pricing and profitability. Initiate a plan to increase revenues generated through catering, banquet and meeting facilities with the goal of having bookings at maximum capacity with a full calendar, thus maximizing revenues.

Operations & Management

Responsible for management of all office and administrative details of the club in a manner that is consistent with good management practices in accordance with all applicable local, state and federal laws. Plan, develop and approve specific operational policies, programs and procedures to ensure efficient club operations. Ensure that club by-laws and code of conduct are adhered to throughout the organization, making recommendations for updates as necessary. Serve as ultimate authority over all inter-departmental and inter-club matters.

Attend all meetings pertinent to management of the club including executive committee and board of directors. Serve as ex-officio member of all club committees. Oversee preparation of reports and other support materials for the board and committees. Assist leadership of the governing board in assessing progress of the club, creating solutions and providing a plan of action related to any issues of concern. Serve as liaison between all management staff and the board. Prepare and negotiate any contracts for board approval. Hire outside consultants, as needed, with the approval of the Board President and Executive Committee. Participate in community activities deemed appropriate and approved by the board of directors to enhance the prestige of the club.

Manage relationship with Concert Golf Partners and the Wisconsin Country Club regarding reciprocity arrangements and other operational issues in relation to the terms of the Purchase and Sale Agreement.

Ensure the highest standards for food, beverage, sports, travel, entertainment and other club services.

Monitor the safety of all staff and membership ensuring crisis management protocols are in place and staff properly trained to deal with weather, fire and medical emergencies, bomb threats, robberies or theft and active shooter incidents. Maintain relationship with fire, police, liquor control board, health department and other government agencies. Insure proper security measures are in place including security cameras and protocols for securing cars and property.

Oversee the care and maintenance of all of the club’s physical assets and facilities, both internal and external. Ensure proper cleanliness and sanitation of all club facilities and environments. Provide advice and recommendations to the board and building committee about construction, alterations, maintenance, materials supplies, equipment, and services. Develop and implement an annual and long range plan for interior and furniture upgrades or replacement.

Build relationships with, provide direction to, and work closely with vendors, outside contractors, firms and individuals providing services to the club. Maintain an active vendor directory across all disciplines of the club. Establish and monitor compliance of purchasing policies and procedures across all club disciplines. Direct inventory controls, purchasing, receiving, storage, maintenance and control of all products, supplies and equipment.

Provide oversight and management of transportation program including scheduling and purchasing and maintenance of vehicles ensuring all drivers are properly licensed.

Maintain membership with professional associations such as the Club Managers Association of America and attend conferences, workshops and meetings to keep abreast of current information, trends and developments in the field, and programs available to aid in club management and staff training and continued education.

Perform other duties as directed by the President of the Board of Directors.

Marketing & Communications

Responsible for overall communications and marketing plans to enhance image, visibility and awareness of the club among target audiences. Provide oversight and approval of all internal and external promotion and communications materials in support of club programs. Supervise media relations. Serve as spokesperson as required. Direct and approve content selection, writing and publishing of the club newsletter and website.

Ensure all member communications are received in a timely way to allow members to take action and ensure all programs are promoted well in advance to allow members to add them to their calendars. Maintain archives of the club including club history and chronological timeline of milestones. Direct development and management of an annual events calendar providing members and their families with a variety of events and experiences. Provide oversight of club travel program serving as traveling companion and host to members on all trips.

Food and Beverage & Food Service Management

Provide Club members with an unsurpassed excellent dining experience with well-plated, beautifully prepared, tasty food and impeccable service. Ensure menus in the Mitchell Room and Veranda and Alexanders are different from one another providing members a variety of food choices. Work in conjunction with Club House Manager and Executive Chef to ensure rotation of menus, making fresh options available seasonally and specials available daily or weekly, offering variety and new options for frequent diners. Ensure options are available for members with special dietary needs. Work with catering to provide high quality menu options for meetings, banquets, parties, weddings and events. Ensure that all food venues and events are properly staffed and that staff is well-trained to offer welcoming, friendly impeccable service.

Work with dining room managers and banquet managers to make sure all wait staff knows how to properly pace service, and how to maximize food and beverage revenues by graciously suggesting drinks, appetizers, salad and soup, wine with dinner, a second drink or other beverage, and dessert or after dinner drinks without being intrusive. Review food and beverage ordering and inventories with executive chef and beverage manager to create efficiencies and avoid waste. Ensure bars at all venues and events are stocked with top shelf liquor and high-quality house brands and that bartenders are well trained and able to accommodate any member request, including non-alcoholic choices. Ensure all dining options are priced properly for profitability.

Candidate Qualifications 

  • A minimum of 7-10 years of progressive leadership and management experience in the Hospitality Industry and Private Club Environment preferred. Current Assistant General Managers or Clubhouse Managers at well-recognized clubs, with verifiable records of achievement will also be considered.
  • A Bachelor’s Degree from an accredited college or university, preferably in Hospitality Management or Business preferred.
  • Certified Club Manager (CCM) designation or working towards one preferred.

About the Superintendent Role

The Superintendent is responsible for leading the golf course maintenance operation. The successful candidate will work to create an environment where staff is involved and enthusiastic, with open communications and respect for themselves, members, guests, and the property.

The Superintendent will be responsible for the following:

  • Responsible for scheduling and payroll of grounds and maintenance staff.
  • Recruits, supervises and retains maintenance staff, and conducts employee performance evaluations and exercises disciplinary action.
  • Provide leadership, coaching, training, and necessary disciplinary actions for all staff.
  • Coordinate and plan with the Board of Directors to create annual budgets, with or without capital improvement projects.
  • Directs and participates in the construction and maintenance of the grounds.
  • Oversee equipment/cart maintenance and repair.
  • Designs landscape plans for facility grounds and implements the plan.
  • Administers and enforces all Club rules, regulations and policies for staff.
  • Works closely with the GM and the Board of Directors to operate the Club in a fiscally responsible and professional manner.
  • Directs and assists the staff on the planting of new vegetation, the replacement, spraying, pruning and trimming of trees and shrubs, the preparation of soil plant beds for aesthetically pleasing arrangements and tending to high stress areas.
  • Supervises and participates in the application and recording of chemical applications (fertilizers and pesticides) on the Club’s grounds in compliance with all provincial and federal regulations.
  • Maintains records and completes required reporting. Order parts, supplies and equipment as needed.
  • Schedules maintenance practices around member play and outings to maximize efficiency and minimize disruption to members.
  • Coordinates snow removal and winter maintenance activities when necessary.
  • Work closely with other managers to ensure the timely completion of golf course projects and operations to a high standard.
  • Maintain all office records, including purchase orders, pesticide records and licensing, training records, and other records as required.
  • Ensure staff are meeting all Occupational Health and safety standards and creating a work environment that promotes health and safety.
  • Assist other departments within the organization, including clubhouse repairs and maintenance as required.

Qualifications and Experience

  • Post-secondary education in Turf Management, consideration of candidates with 5 years or more applicable experience as a Golf Superintendent or 1st Assistant.
  • Class A Golf Course Superintendent designation (preferred)
  • Supervision, employee training & staff management experience (hiring/terminations and laying off employees in off season).
  • Budgeting and planning skills.
  • Knowledgeable on the safe use and training for all pieces of equipment utilized on the grounds.
  • Possess a Pesticide Applicator Certificate.
  • Extensive knowledge of golf course watering requirements, including pumps and irrigation infrastructure.
  • Advance computer skills required for financial reporting and control of operations, including use of Microsoft Office.
  • Current Pest Management certification.

Founded in 1922, the Club is situated on 135 acres in the town of Biltmore Forest, a planned residential community in North Carolina with a culture rich history. Biltmore Forest Country Club features a pristine Donald Ross golf course, an elegant Clubhouse, fitness center, tennis facilities, pool and offers a wide variety of member activities.

The clubhouse, covering nearly 48,000 sq. ft., is the center of activities for our members. The Assistant General Manager Position

The Assistant General Manager (AGM) is ultimately responsible, on a daily basis, for all clubhouse, food and beverage, aquatics, recreation and facilities operations including general housekeeping in these areas. The AGM is also responsible for all aspects of the operation in the absence of the General Manager/COO and performs specific tasks as requested.

This AGM works closely with, and reports directly to, the General Manager/COO, providing quality leadership and contributing to the positive atmosphere of the Club and associated operations. He/she will also prepare annual department budgets in concert with the GM/COO.

The AGM must enhance the club culture and is responsible for the dissemination of hospitality, friendliness and goodwill among members, guests and staff. His/her goal is always to assist members and guests in the enjoyment of the facilities and activities at the Club. In addition to building relationships, the AGM also provides support to the respective committees and advisory groups. As the public face of these operations, a hands-on approach, and understanding that full member and staff engagement is critical, is required to succeed in this position.

The AGM should anticipate and provide enhanced hospitality along with superb dining and other memorable experiences for the Club’s membership and their guests. Alignment with the Executive Chef, Event Director and Food & Beverage Managers is very important in this position to ensure collaborative, innovative, harmonious relationships between front- and back-of-house operations.

Primary Responsibilities

Member Services

  • Consistent, highly visible, sincere and significant engagement with members and staff
    in the dining areas of the club is of the utmost importance. It is the ultimate responsibility of the AGM to ensure all member dining, amenities and club events are well-conceived and executed.
  • Provide quality leadership in a positive and upbeat manner for the members, guests
    and staff.
  • Create and maintain a first-class service culture throughout the club campus.
  • Listen to member and guest suggestions and resolve all complaints in areas that may include general service, employee attitude, maintenance, and presentation of the clubhouse operations.

Employee Relations

  • Oversee the seasonal recruitment, hiring and development of clubhouse and food service personnel.
  • Oversee ongoing training programs complete with up-to-date training manuals to ensure exceptional service in all parts of the club’s operation.
  • Provide for training and future development of all subordinate managers and supervisors, subject to budget approval by the General Manager/COO. Coach, counsel, and evaluate departmental staff on a consistent and ongoing basis.
  • Ensure a positive spirit and healthy work environment exists throughout all club operations, one that is free of safety risks and all forms of employee harassment.
  • Maintain an effective two-way communications program with employees to ensure they are treated in a fair, structured and consistent manner.
  • Function as an administrative and communication link between all departments.
  • Guarantee that all clubhouse employees are regularly trained and certified in areas that help guard the safety and well-being of our members, guests and other employees including, but not limited to responsible alcohol service, safe food handling, etc.

Financial Management 

  • Work jointly with the Controller and General Manager/COO to prepare the annual operating and capital budgets for all clubhouse and service operations; assist in the management and control of operations to attain the desired results.
  • Monitor the budget each week/month and direct any corrective action, as necessary,
    to assure budgeted goals are attained.
  • Provide input to all clubhouse and service personnel regarding annual budgets, capital spending plans, fiscal controls and operational guidelines.
  • Manage all labor cost and maintain them within the constraints of the budget, and through close coordination and approval from the General Manager/COO and Controller.
  • Monitor payroll records to control overtime and maintain labor costs within budgetary guidelines.
  • Supervise the purchase, receipt, safekeeping and disbursement of operating supplies and equipment to maximize quality and profitability.

Personnel Management

  • Be approachable to staff, members and guests. Lead by example.
  • Assist the General Manager/COO in developing and implementing long-range (strategic) and annual (business) plans, operating reports, forecasts and budgets.
  • Work with Human Resources to develop long-term staffing needs for each area of responsibility.
  • Hiring, discipline, terminating and preparing all related documentation for all clubhouse and service staff.
  • Review all accidents and work with HR and Safety Committee to complete accident reports and implement improved procedures to prevent the situation from reoccurring.
  • Attend senior management meetings and carry out directives agreed upon during the meetings along with any other requests of the General Manager/COO. All actions must be carried out in a timely manner.
  • Serve as an ad-hoc member of appropriate club committees and advisory groups.
  • Possess a warm personality, a sense of humor and the ability to work effectively with all levels of the internal staff and members.
  • Work with the Executive Chef, Event Director, Food & Beverage Managers and others to develop P&L statements prior to each special event. Produce an event recap along with all appropriate documentation/history, keeping it on file for future use.
  • Work with Executive Chef on menu development and strategy for the food and beverage operation.
  • Work with the F&B team to organize and market special club events.
  • Further personal continued development as a club management professional through membership in CMAA. With the assistance and approval of the General Manager/COO participate in appropriate seminars/training programs, thereby enhancing your value and quality of services to Biltmore Forest Country Club.

Operational Responsibilities

  • Understand and abide by Biltmore Forest Country Club policies and departmental procedures. Suggest changes, and when appropriate, direct the implementation of all approved changes.
  • Provide content for, and manage, communications and marketing information for departments.
  • Assure Clubhouse operations and campus venues are run in accordance with all applicable local, state and federal laws.
  • Disseminate information effectively and coordinate activities between departments
    in a timely manner.
  • Keep the General Manager/COO informed of all potential problems and activities related to the smooth operation of the clubhouse and other food service venues.
  • Oversee inventory management throughout departments and complete a periodic china, glass and silver inventory to maintain par levels.
  • Coordinate and approve all entertainment in consultation with General Manager/COO and others.
  • Possess a sharp eye for detail in the overall management and presentation of the operation and the facility.
